New capability helps organisations make strategic workforce and budget decisions through structured, long-term capacity planning on a single data foundation

Peopleware today announced the launch of Capacity Planning, a new strategic planning solution that helps organisations plan their workforce needs up to three years in advance. The new capability enables teams to model and compare different staffing scenarios and understand their impact on workforce capacity, service levels and costs.

For many organisations, long-term workforce planning is still managed across disconnected systems and tools. Workforce management (WFM) teams, operations, finance and HR often work with different versions of manually maintained spreadsheets, making it difficult to evaluate staffing strategies, accurately assess costs and identify capacity gaps before they impact operations. Peopleware’s new Capacity Planning solution brings forecasts, contract data, workforce information and cost data together in one single system. By providing a consistent and trusted data foundation, it enables organisations to model and compare different staffing strategies and make informed long-term workforce planning decisions.

“Strategic workforce decisions should not depend on spreadsheets or manual calculations,” said Peter Bollenbeck, CEO of Peopleware. “Capacity Planning provides companies with a centralised AI-native planning environment where they can simulate various workforce strategies, compare their impact on capacity and costs and make decisions that are supported across operations, finance and senior management.”

Key features of Capacity Planning include:

  • Compare up to three staffing scenarios across different teams, projects and planning periods

  • Compare required and available capacity to identify under- and overstaffing early

  • Consider actual workforce availability by including training, absences, shrinkage and other non-productive time

  • Simulate different staffing strategies, onboarding scenarios and turnover trends

  • Gain clear cost visibility for each planning strategy to support informed budget and capacity decisions

  • Collaborate across departments in one structured planning environment with role-based access

Peopleware’s Capacity Planning addresses planning challenges across a wide range of industries and organisational roles. Here are a few examples: WFM teams can test different planning scenarios without managing multiple spreadsheet versions. Operations leaders can identify capacity risks early and take action before they impact service levels. Finance and HR teams gain transparency into the financial impact of planned workforce decisions. BPOs (Business Process Outsourcers) can create staffing and cost estimates for customer proposals (RFPs) faster and with greater accuracy. Even strategic management questions, such as opening new locations, decisions about outsourcing, or the impact of AI on staffing needs, can be simulated and evaluated in a structured manner.

Capacity Planning is available immediately as an add-on to Peopleware’s AI-native WFM suite. In the coming months, the solution will also be offered as a standalone product on the Peopleware platform, independent of other WFM capabilities, such as scheduling or intraday management.
